M1 Agency AI Disclosure Statement

1. Purpose and scope

M1 Agency uses artificial intelligence to support strategy, creative, content, development, analytics, reporting, and account management work.

This statement explains how M1 uses AI tools, how we protect client information, and how we ensure AI-assisted work is reviewed by our team before it is shared, published, or deployed.

This policy applies to AI-related work completed by M1 Agency team members, contractors, or approved partners on behalf of our clients.

2. Our AI principles and commitments

AI supports the work. It does not replace the people.

AI does not replace our team’s judgment, creativity, or strategic thinking. Every client-facing deliverable is shaped, reviewed, refined, and approved by an M1 team member before it is shared or published.

AI use must be appropriate to the task.

M1 uses AI where it can improve quality, speed, organization, exploration, testing, or efficiency. We do not use AI where human expertise, client confidentiality, legal sensitivity, or brand trust requires a more controlled approach.

Client information must be protected.

We do not intentionally submit restricted client information, private customer data, raw financial data, unreleased product information, legal documents, or confidential source code into public AI tools.

Where possible, we use enterprise, business, or privacy-protected versions of AI and data tools, including platforms such as ChatGPT, Claude, Google tools, BigQuery, and other approved systems.

AI-assisted work must be checked.

All AI-assisted copy, code, analysis, visuals, summaries, and recommendations are reviewed by M1 for quality, accuracy, originality, brand fit, factual accuracy, and relevance.

AI use must be transparent where relevant.

Where AI materially influences public-facing content, creative, or deliverables, M1 can disclose that AI was used when appropriate or when requested by the client.

Example

AI-generated images may be labelled as “AI-generated” within file metadata where appropriate, helping maintain clarity around asset origin and usage.

Ethics and responsible AI use

M1 is committed to the ethical and responsible deployment of artificial intelligence across all facets of its business. Under this mandate, M1 will not knowingly use AI to create or support content, targeting, analysis, or decision-making that discriminates against individuals or groups, reinforces harmful bias, or misrepresents communities, cultures, or audiences. Furthermore, the organization strictly prohibits the use of AI to deceive clients or audiences, impersonate individuals, spread misinformation, or generate malicious software. This framework ensures that AI technologies are never leveraged to violate laws or regulations, nor to produce content intended to manipulate, exploit, or harm people.

3. Representative AI use cases

A. Strategy, research and planning

M1 may use AI to summarize information, organize discovery notes, compare messaging themes, structure strategic documents, identify patterns, and support early-stage campaign planning.

Client protection

M1 validates AI-assisted insights against client goals, approved information, campaign data, and human strategic judgment.

B. Copywriting and communications

M1 may use AI to support proofreading, tone refinement, content structure, headline exploration, email drafting, website copy optimization, and campaign message variations.

Final copy is reviewed by M1 for accuracy, brand voice, claims, factual references, links, and audience fit.

C. Creative, design and stock image generation

M1 may use AI to explore concepts, mood boards, abstract textures, background assets, stock-style image generation, image prompts, visual directions, and early-stage creative references. These tools may help us create original supporting visuals for layouts, campaigns, websites, presentations, and social content.

Client protection

AI-generated visuals are reviewed for quality, brand appropriateness, usage rights, originality, and visual errors before they are used in client work. We do not upload sensitive client logos, unreleased product designs, or proprietary brand assets into public AI image tools without approval.

M1 applies clear restrictions to AI-generated imagery.

No deepfakes

We do not generate likenesses of real people without permission.

No trademark violations

We do not include protected logos, trademarks, or brand marks unless they are approved client-owned assets being used in an authorized environment.

No direct copying

We do not ask AI tools to directly copy, imitate, or recreate specific copyrighted artworks, campaigns, illustrations, photographs, or artist styles.

D. Website content, migration and optimization

M1 may use AI and automation tools to help crawl, organize, consolidate, and restructure approved website content during audits, redesigns, migrations, and SEO planning.

Client protection

We only work with content and directories authorized by the client. Restructured content is reviewed for accuracy, duplication, tone, and unintended changes in meaning.

E. Development and quality assurance

M1 may use AI-assisted coding tools to help with boilerplate code, debugging, documentation, testing support, and technical problem-solving.

AI-assisted code is reviewed by M1 before deployment. Code is tested and checked for functionality, quality, security concerns, and fit within the approved project architecture.

F. Analytics, reporting and operations

M1 may use tools such as BigQuery, Google platforms, dashboards, scripts, and AI-assisted analysis to process campaign data, generate summaries, identify trends, and improve reporting workflows.

Client protection

Access to reporting and analytics systems is limited to authorized project team members. Sensitive data is handled through approved accounts, permissions, and secure workflows.

G. Meetings, notes and account management

M1 may use AI-supported transcription or summarization tools to capture meeting notes, decisions, action items, and next steps.

Client protection

Clients will be notified when an AI assistant or transcription tool is used in a meeting via the meeting notifications. AI recording can be disabled for sensitive discussions, including contract negotiations, confidential planning, or proprietary product conversations.

5. Disclosure and client alignment

If a client has its own AI governance policy, security requirements, brand rules, disclosure language, or compliance framework, M1 will review those requirements and adapt our workflow where appropriate.

When needed, M1 can include a disclosure statement such as:

6. Roles and responsibilities

M1 Agency leadership

M1 leadership is responsible for maintaining responsible AI practices, reviewing tool usage where needed, and ensuring the team understands client confidentiality and data protection expectations.

M1 project teams

Project teams are responsible for using AI appropriately, protecting client information, reviewing AI-assisted outputs, and ensuring final deliverables meet M1’s standards for strategy, creativity, quality, and accuracy.

Clients

Clients are encouraged to share any AI-related policies, restrictions, disclosure requirements, or approval processes that should guide M1’s work.

7. Review and updates

AI tools, laws, platform policies, and best practices continue to evolve. M1 will review this policy periodically and update it as needed to reflect changes in technology, client expectations, and responsible use standards.

Conclusion

AI helps M1 move faster, organize information more clearly, explore stronger creative directions, and improve operational efficiency. But the value of our work still comes from human judgment, creativity, experience, taste, and accountability.
